A complete end-to-end digital timesheet system was designed and deployed using Microsoft Forms as the intake interface, connected to a structured PDF generation pipeline via Power Automate and a Plumsail document connector. Each submission triggered automatic PDF creation using a standardized template, applied business logic, routed for approval, and archived automatically — without any manual handling. The system was engineered to process variable daily volumes without degradation.
The system processed over 50,000 timesheets in its first operational year. The workflow redesign eliminated the need for three full-time timesheet processing roles, representing approximately $300,000 in annualized labor cost reduction for the department. The next engineering phase involves direct API integration with the B2W field management platform to automate data entry — eliminating the remaining manual touchpoint entirely.
Lifecycle cost (LCC) models for heavy equipment replacement decisions were being built manually on a quarterly cycle — one model per equipment type, per analysis period. Each model required gathering cost data from multiple sources, building scenario-based cost-per-hour projections, modeling repair risk curves, and producing output documents for executive review. A single LCC model consumed 2 to 3 weeks of analyst time. With multiple models required per cycle, the process was a structural bottleneck to capital decision-making.
A Python-based LCC automation engine was designed to standardize data ingestion, apply consistent cost modeling logic across all equipment types, generate scenario outputs, and produce formatted deliverables automatically. The system was built around the actual decision variables used in executive CAPEX review — not a generic template — ensuring outputs were immediately usable without manual reformatting or interpretation layers.
The automated system reduced the LCC model build cycle from 2–3 weeks to approximately 6 hours per complete run. This compression applies across all equipment models simultaneously, meaning the quarterly cycle that previously occupied analyst capacity for weeks can now be completed in a single workday. Decision timelines shortened. CAPEX submissions became more consistent, better documented, and easier to defend at executive review.
Several recurring operational workflows across a heavy equipment fleet were being executed manually despite having structured, predictable inputs and outputs. Weekly machine meter readings required an admin to manually transfer data from Excel into the fleet management system — a process consuming approximately 4 hours every week. Timecard approvals required clicking through individual records in B2W without bulk action capability. Machine location updates and dummy purchase order creation followed similar patterns: structured inputs, repetitive execution, no automation.
Four discrete Power Automate workflows were designed and deployed across these processes. The Eclipse Hour Update flow automated meter reading transfers from Excel to the fleet system on schedule, with no human trigger required after initial file preparation. A UI automation flow was built to handle bulk timecard approvals in B2W by replicating the approval interaction — structured as an interim solution with a defined transition path to API-level integration. Location changes and dummy purchase order creation were similarly automated from structured Excel inputs.
The Eclipse Hour Update alone recovered approximately 3.5 hours of admin time per week — equivalent to over 180 hours annually on a single process. Timecard approval throughput increased significantly with no corresponding increase in staffing. Location and PO automations eliminated entry errors and reduced friction in procurement compliance workflows. Collectively, these four automations contributed to the elimination of two additional time-based administrative roles beyond those replaced by the timesheet system.
Payroll processing required manual sorting of raw payroll files — separating contractors from hourly and weekly employees, organizing by day, and preparing outputs for downstream processing. The task ran every two days and consumed approximately two hours per cycle. Separately, a large volume of PDF documents needed to be routed to either the Maintenance or Operations department based on codes printed on each document — done manually by staff reviewing each file individually. Contractor hour confirmations were also being prepared and distributed manually.
Three Python-based automation systems were designed to address these workflows. A payroll file processing script was built to ingest raw payroll exports, parse employee classification codes, sort entries by type and date, and produce structured outputs — replacing the manual sorting process entirely. A PDF classification script was built to read embedded assignment codes on each document and route files to the correct destination folder automatically. A third system automated contractor hour confirmation: parsing payroll data, generating individualized PDF reports using ReportLab, and dispatching via Outlook on a bi-weekly schedule.
The payroll split process was reduced from 2 hours every two days to approximately 5 minutes — a 96% reduction in processing time for that task alone. The PDF classification system eliminated manual document review entirely for routing decisions. The contractor confirmation system removed a recurring manual reporting and email distribution task, replacing it with a system that generates accurate, formatted reports and distributes them automatically — with no human intervention required after scheduling.
Labour costs within the maintenance department were being tracked at a department-wide level — providing total cost figures but no breakdown by equipment unit or component type. Fleet managers and operations leadership had no reliable mechanism to answer critical questions: which machine was consuming the most labour hours, which component category was driving costs, and how labour cost trended against lifecycle position. Decisions about maintenance investment and replacement timing were being made without this fundamental cost intelligence.
A Python-based expense scanning and classification system was built to process timesheet data, extract labour hours and associated cost codes, and map each entry to the corresponding equipment unit and component category. The system was designed to produce structured output tables showing labour cost by machine by component — enabling direct comparison across the fleet and over time. The architecture was built to run against historical data as well as ongoing timesheet submissions, providing both current-period and trend intelligence.
For the first time, the organization had accurate, granular labour cost data at the machine-component level — derived automatically from existing timesheet records without any additional data collection effort. This intelligence fed directly into lifecycle cost modeling, replacement timing analysis, and maintenance prioritization decisions. Costs that had previously been invisible became measurable. Investment and replacement decisions became defensible with actual cost history rather than estimates.
